A practical guide to running a virtual roundtable for senior buyers in the UAE and the wider Gulf.
Why a virtual roundtable suits buyers in the UAE
A virtual roundtable is a moderated video discussion for a small group of senior people who share a problem. Eight to twelve guests talk to each other, led by a moderator, for about an hour. Nobody presents to an audience.
Senior buyers in the UAE are concentrated in Dubai and Abu Dhabi, and many lead teams across the wider Gulf. A virtual roundtable lets you bring regional leaders together for one hour, without asking anyone to travel between cities or countries.
How to run a virtual roundtable for buyers in the UAE and the Gulf
The method is the same in every market: choose the audience before the topic, build the group around one question, keep it to about ten guests, invite personally, moderate lightly and follow up within 48 hours. Our guide to running a virtual roundtable covers each step, and our roundtable questions guide helps you write the question. What changes is the detail around timing, calendar and language.
Choose the day and time with care
The UAE keeps the same time all year, UTC+4, with no clock change. A start at 10:00 am in Dubai is 6:00 am UTC, which is 6:00 am in London in winter and 7:00 am in summer. Saudi Arabia is one hour behind the UAE. Most organisations now work Monday to Friday, with Friday a shorter day, so Tuesday to Thursday mornings are the safest slots. Avoid Friday around midday.
Plan around Ramadan, Eid and the summer
Ramadan changes working hours and the evening schedule. If you hold a session in that month, keep it short and choose a mid-morning slot. The dates of Ramadan and Eid move each year, so check the calendar before you fix a date. UAE National Day falls on 2 and 3 December. Many senior leaders are away in July and August, so autumn and spring are the best seasons to fill a table.
Invite personally
In the Gulf, a personal introduction carries weight. Send each invitation as a short note from a named person, say who else is attending, and follow up with a call or a message. Decide the language of the session in advance, and say so in the invitation.
Virtual roundtable or executive dinner?
A virtual roundtable is faster to organise and easier for guests to attend. An executive dinner builds a stronger personal relationship. Many sponsors use both, starting with a roundtable and inviting the best contributors to a dinner. Our guide to hosting an executive dinner covers the in-person side.
Common mistakes
- Booking on a Friday. Midday is hard to fill and attendance is low.
- Missing Ramadan or Eid. Check the dates before you send invitations.
- Choosing a product theme. Guests come for a problem they share, not for a demo.
- Skipping the follow-up. The session starts the relationship, and it needs a next step.
How ELN runs virtual roundtables for buyers in the UAE and the Gulf
ELN builds the guest list around your ideal customer profile, handles the invitations and registrations, and provides the moderator. We run virtual roundtables for buyers in the UAE, the UK, Europe and North America. Frequently asked questions
How many guests should a virtual roundtable have?
Around ten. That is small enough for everyone to speak and large enough for a varied conversation.
How long should a virtual roundtable last?
About an hour. Shorter than that and the conversation does not develop, and longer and attendance drops.
What day is best for a roundtable in the UAE?
Tuesday to Thursday, in the morning. Avoid Friday around midday.
Can we hold a roundtable during Ramadan?
Yes, if you keep it short, choose a mid-morning slot and check the dates first. Many sponsors prefer to avoid the month.
