Delegate Acquisition for B2B Events

What delegate acquisition is, why B2B events fall short and how to fill an event with the right people.

What is delegate acquisition?

Delegate acquisition is the work of recruiting the right people to attend a B2B event. It covers building the target list, inviting people, handling registrations, confirming guests and chasing no-shows. It is the step most events get wrong, because a venue and an agenda do not fill themselves.

It matters because an event is only as valuable as the people in it. A well-run evening with the wrong guests produces a pleasant dinner and no pipeline. The same event with the right guests produces conversations your sales team can act on.

Why events fall short

Most under-attended events share three problems: the invitation list was too broad, the topic was about the host rather than the guest, or nobody followed up after registration.

Registrations also do not equal attendance. Between October 2024 and December 2025, ELN generated 6,331 webinar registrations and welcomed 3,207 attendees to dinners and roundtables. Every format loses some registered guests before the day, so the number of people invited needs to be wider than the number of seats.

How delegate acquisition works at ELN

  1. We agree the ideal customer profile with the sponsor. That means job titles, company types and regions, and a list of target accounts if you have one.
  2. We invite from that profile. Invitations go out by email, phone and LinkedIn, with a topic written for the guest rather than the host.
  3. Each registration is reviewed. For invitation-only formats such as dinners and one-to-one meetings, the sponsor can accept or reject each registration before the guest is confirmed.
  4. We confirm and remind guests. We chase every no-show risk before the event so the room is full on the day.
  5. After the event, the sponsor receives the delegate data. Your sales team can follow up with a clear list of who attended.

What good looks like

ELN's sponsored dinners averaged around 25 registrations for roughly 12 contracted seats, and sponsored webinars averaged about 79 registrations against about 68 contracted. Registrations that beat the contracted number give the sponsor room to choose, or room to absorb the guests who do not turn up.

Different formats ask different things of the audience:

  • Dinners and roundtables: a smaller, carefully chosen group, with each guest matched to your profile.
  • Webinars: a wider audience, built to create a pool of leads for follow-up rather than a room of confirmed decision makers.
  • One-to-one meetings: named contacts, agreed with the sponsor before any meeting is booked.

In-house or outsourced?

Many marketing teams can invite their own contacts, but few have the time to recruit against a precise profile, handle registrations and chase no-shows across several events. Outsourcing delegate acquisition makes sense when you need to reach people outside your own database, or when your team does not have capacity to do the follow-through.

What to measure

  • Registrations against the contracted number.
  • Attendance against registrations.
  • The share of attendees who match your ideal customer profile.
  • Meetings or opportunities created within 30 days.

Delegate acquisition without the event

If you already run events and need help filling them, ELN can provide delegate acquisition on its own, for B2B marketing teams, agencies and other organisers. You keep the event, and we recruit the audience against your profile.

Frequently asked questions

How many registrations do I need to fill an event?

More than the number of seats. Some registered guests will not attend, so aim for a pool that gives you comfortable room above your target.

How early should delegate acquisition start?

As early as you can. Recruiting the right people takes longer than booking a venue, and the best guests often have full diaries.

Can you fill events that are not run by ELN?

Yes. Delegate acquisition is available as a standalone service for events you run yourself.
