Executive Leaders Network
Privacy Statement
This statement explains how Executive Leaders Network Ltd (“ELN”, “we”, “us”) collects and uses personal data. We are the data controller, and we handle personal data under the UK GDPR and the Data Protection Act 2018.
Who we are
Executive Leaders Network Ltd is registered in England and Wales, company number 09214743. Our registered office is Suite 25 Orion Suite, Centre for Business, Enterprise Way, Newport, NP20 2AQ. Our correspondence address is 2 Little Milton Gardens, Newport, NP18 2DG.
If you have any questions about this statement or how we use your data, contact us at [email protected] or on 01633 646100.
What information we hold and where it comes from
We hold business contact details for senior people whose role suggests they may want to attend events in their sector, and for people who register for, attend or sponsor our events. This can include:
- name, email address and telephone number
- job title and employer
- the nature of your business activities and your professional interests
- your registration for and attendance at our events, and any questions you ask or answers you give
- records of our correspondence with you, including notes of calls
We collect this information from you directly when you register on our site, complete a form, book a call, subscribe to updates or attend an event, or when someone at your organisation does so on your behalf. We also collect business contact details from public websites, professional networking sites and data providers. If we obtain your details from a source other than you, we tell you within one month of doing so, and we will tell you where they came from if you ask.
How we use your data and our legal bases
We only use your data where the law gives us a reason to. The table sets out each use and the reason that applies.
| What we do | Legal basis |
|---|---|
| Identify senior professionals who may be interested in events in their sector, and invite them to attend | Legitimate interests (Article 6(1)(f)): promoting relevant professional events to the people they are designed for |
| Process your registration, run the event and send you joining details and follow-up for that event | Contract or steps before a contract (Article 6(1)(b)), and legitimate interests |
| Pass your details to the sponsor of an event you registered for, so they can contact you about their services | Your consent (Article 6(1)(a)), which you can withdraw at any time |
| Send you marketing emails about future events and content | Legitimate interests for business contacts at companies, and your consent where the law requires it (for example sole traders and personal email addresses) |
| Respond to your enquiries and keep records of our correspondence | Legitimate interests |
| Issue invoices and keep accounting records, where we supply a paid service | Contract and legal obligation |
| Monitor quality, investigate complaints, and detect and prevent fraud or crime | Legitimate interests and legal obligation |
Where we rely on legitimate interests, we have weighed them against your rights and expectations. You can object at any time (see Your rights). Every marketing email includes an unsubscribe link, and you can also ask us to stop at [email protected].
Who we share your data with
We do not sell your data. We share it only as follows:
- Sponsors. If you register for an event that a sponsor supports and you agree when you register, we pass your details to that sponsor. They then use your data under their own privacy notice and are responsible for how they use it. Tell us if you want us to stop sharing your details, and tell the sponsor if you want them to stop contacting you.
- Speakers, hosts and other attendees. Your name, job title and company may be visible to speakers, hosts and other attendees at an event you join.
- Service providers. Companies that help us run our business, such as our website host, event and webinar platforms, email and form providers, customer database and meeting booking tools. They act on our instructions.
- Advisers and authorities. Our professional advisers, and law enforcement or regulators where the law requires it.
- A buyer of our business. If another company acquires Executive Leaders Network Ltd, your data may pass to them, and they must keep to this statement.
We may also share aggregated statistics about our events, which do not identify you.
Transfers outside the UK
Some of our service providers, and some sponsors, are based outside the UK, including in the United States and Canada. These include providers of forms, meeting booking, email, customer database, video and webinar tools, for example Cognito Forms, Apollo, Zoom, Microsoft 365, Cloudflare, TidyCal, Instantly, Brevo and Zapier. Where your data goes to a country without a UK adequacy decision, we use a safeguard the law accepts, such as the UK International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses, or the provider’s certification under the UK-US data bridge. You can ask us for details of the safeguard used.
Keeping your data secure
We use technical and organisational measures to protect your data, including:
- storing it on secure, access-controlled systems
- encrypting it in transit
- limiting access to approved staff who need it
- using providers that meet recognised security standards
No internet transmission is completely secure, so we cannot guarantee the security of data you send to us, but we take reasonable steps to protect it.
Your rights
You have these rights over your personal data:
- Access. Ask for a copy of the data we hold about you.
- Correction. Ask us to correct anything that is wrong or incomplete.
- Erasure. Ask us to delete your data in certain circumstances.
- Restriction. Ask us to pause our use of your data while a concern is dealt with.
- Objection. Object to our use of your data based on legitimate interests, and object to marketing at any time. We will stop marketing to you as soon as you ask.
- Portability. Ask for data you gave us in a format you can move to another provider, where we use it based on consent or contract.
- Withdrawing consent. Where we rely on your consent, you can withdraw it at any time. This does not affect what we did before.
To use any of these rights, contact us at [email protected]. You can ask in writing or by phone. We may need to confirm who you are, and will only ask for what we reasonably need to do that. We aim to reply within one month, and we do not charge for a normal request.
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk.
Retention
We keep your data for up to five years from our last interaction with you, then delete it or anonymise it. We keep a short record of anyone who asks us to stop contacting them, so that we respect that request. We keep accounting records for as long as the law requires.
Cookies, recordings and photography
Cookies. Our website uses cookies and similar technologies. See our Cookie Policy for what they do and how to change your choices.
Calls. We may record phone and video calls for training, quality monitoring and complaint handling. We tell you at the start of the call.
Webinars and virtual roundtables. Sessions may be recorded, including video, audio, chat and questions. We tell you before recording starts. Recordings may be shared with registered attendees and with the sponsor, and some are published as on-demand content. If you do not want to appear in a recording, switch off your camera and microphone, or contact us before the session.
In-person events. We may take photographs or video at our events and use them to promote future events. Tell the event team on the day if you would rather not be included.
