A practical guide to planning, hosting and following up an executive dinner with senior buyers.
What an executive dinner is for
An executive dinner is a private evening for a small group of senior people, usually eight to fourteen, hosted by a sponsor and built around one conversation. There is no stage and no slide deck. The guests talk to each other, and the sponsor sits at the table as one voice among them.
For a sponsor, the value is simple. You spend two or three hours with named buyers in a setting where they relax and speak openly. That is hard to get on a sales call and impossible to get in a conference hall.
Why senior buyers say yes
Senior buyers are invited to a lot of things. They accept the ones that look worth an evening. A good dinner offers three things: a short guest list of peers they would like to meet, a topic they care about, and no pressure to listen to a pitch. If the invitation makes all three clear, the acceptance rate rises.
How to host an executive dinner, step by step
1. Start with the guest list
Decide who you want at the table before you choose a restaurant or a date. Write down the job titles and the companies. Aim for similar seniority and different organisations, so that nobody is selling to a colleague. A mix of target accounts and a few trusted customers works well.
2. Keep the table small
Eight to fourteen people is the right range. Below eight, one absence changes the evening. Above fourteen, the table splits into several conversations and the host loses the room.
3. Choose one question
Pick a single question the guests would discuss without you, such as how they are handling a budget decision or a change in their market. A theme like "the future of finance" gives people nothing to say. A direct question does.
4. Pick the venue and the format
Choose a private room, not a corner of a busy restaurant. Tell the venue the numbers, the dietary needs and the timings in advance. Seat people on purpose. Put the sponsor's team between guests, never together.
5. Invite personally
Send each invitation as a short personal note from a named person. Say who else is coming, what the question is and how long the evening runs. Follow up by phone or message a week later. Mass emails rarely fill a senior table.
6. Run the evening lightly
Welcome people over a drink, then sit down and let the host introduce the question. Ask each guest for a first view, then open the table. Keep the host's own talking to a minimum. The best dinners end with guests exchanging details with each other.
7. Follow up within 48 hours
Send every guest a short note with the main points from the conversation, even the ones who dropped out at the last minute. Then contact the people who showed interest one to one, and refer to something they said at the table.
Executive dinner or virtual roundtable?
A dinner builds a stronger personal bond, and a roundtable is faster to organise and easier for guests to attend. Many sponsors use both: a roundtable to meet a wide group, then a dinner for the best contributors. Our guide to running a virtual roundtable covers the online side, and our B2B virtual roundtables page explains how we run them.
Common mistakes
- Inviting too many people. A packed table cannot hold one conversation.
- Choosing a product theme. Guests come for a problem they share, not for a demo.
- Letting the sponsor dominate. The sponsor learns more by listening.
- Skipping the follow-up. The conversation is the start of the relationship, and it needs a next step.

Frequently asked questions
How many guests should an executive dinner have?
Between eight and fourteen. That is small enough for one conversation and large enough for a varied group.
How long should an executive dinner last?
Two to three hours including the drinks reception. Senior guests often have an early start the next day.
Who should host the dinner?
A senior person from the sponsor, ideally with a neutral moderator who keeps the conversation moving. ELN can provide the moderator.
How do you measure whether a dinner worked?
Look at how many guests matched your target profile, how many one-to-one conversations you booked within 30 days, and how many target accounts moved forward in your pipeline.
