A practical guide to running a virtual roundtable for senior buyers across Canada.
Why a virtual roundtable suits Canadian buyers
A virtual roundtable is a moderated video discussion for a small group of senior people who share a problem. Eight to twelve guests talk to each other, led by a moderator, for about an hour. Nobody presents to an audience.
Canada's senior buyers are spread across a very large country, with major clusters in Toronto, Montreal, Ottawa, Calgary and Vancouver. A virtual roundtable lets you bring a buyer in Vancouver and a buyer in Halifax into the same conversation for one hour, with no flights.
How to run a virtual roundtable for Canadian buyers
The method is the same in every market: choose the audience before the topic, build the group around one question, keep it to about ten guests, invite personally, moderate lightly and follow up within 48 hours. Our guide to running a virtual roundtable covers each step, and our roundtable questions guide helps you write the question. What changes is the detail around timing, calendar and language.
Plan around Canada's time zones
Canada has six time zones, but most buyers sit in four: Eastern, Central, Mountain and Pacific. A session at 12:00 noon Eastern is 11:00 am Central, 10:00 am Mountain and 9:00 am Pacific, which works for most guests. An 11:00 am Eastern start is 8:00 am on the West Coast, which loses some Pacific guests. Tuesday to Thursday is usually best.
Mind the Canadian calendar
Avoid long weekends and the weeks around them: Victoria Day in May, Canada Day on 1 July, Labour Day in September and Canadian Thanksgiving in October. Summer is slower, especially from July to mid-August, and the end of December is hard to fill. Check provincial holidays if your guests sit in one region.
Language and mixed groups
Many Quebec buyers work in French. If Quebec matters to your target list, decide in advance whether to run a French-language session, and say so in the invitation. If you want Canadian and US guests in the same session, choose a question that works in both markets, or run two sessions and share one summary.
Virtual roundtable or executive dinner?
A virtual roundtable is faster to organise and easier for guests to attend. An executive dinner builds a stronger personal relationship. Many sponsors use both, starting with a roundtable and inviting the best contributors to a dinner. Our guide to hosting an executive dinner covers the in-person side.
Common mistakes
- Ignoring the Pacific time zone. A time that suits Toronto can lose Vancouver.
- Booking on a long weekend. Attendance drops sharply.
- Choosing a product theme. Guests come for a problem they share, not for a demo.
- Skipping the follow-up. The session starts the relationship, and it needs a next step.

Frequently asked questions
How many guests should a virtual roundtable have?
Around ten. That is small enough for everyone to speak and large enough for a varied conversation.
How long should a virtual roundtable last?
About an hour. Shorter than that and the conversation does not develop, and longer and attendance drops.
What is the best time for a roundtable with guests across Canada?
Noon Eastern, Tuesday to Thursday, suits most guests from Atlantic Canada to the Pacific. Check the West Coast before you fix it.
Do we need a French-language session for Quebec?
It depends on your target list. If your guests are national companies, English usually works. If you want local firms in Quebec, French may fit better.
