A practical guide to hosting an executive dinner for senior buyers in the United States.
Why executive dinners work for US sponsors
An executive dinner is a private evening for a small group of senior people, hosted by a sponsor and built around one conversation. In the US, where senior buyers are busy and flooded with invitations, a short guest list and a clear topic stand out from the usual conference and cocktail event.
The value for a sponsor is time. You spend two or three hours with named buyers in a relaxed setting, and they tell you in their own words what they are working on. That is hard to get on a sales call.
How to host an executive dinner for US buyers
1. Choose the city and the audience together
Pick the cities where your target accounts are concentrated, such as New York, Chicago, Dallas, Atlanta, San Francisco or Boston, and invite people who work within easy reach of the venue. A small table of similar roles from different organizations gives the best conversation.
2. Keep the table to eight to fourteen
Below eight, one cancellation changes the evening. Above fourteen, the table splits into separate conversations and the host loses the room. In the US, expect a few late drops, so invite a little above your target.
3. Pick one question
Choose a single question the guests would discuss without you. A direct question gives people something to say. A broad theme does not.
4. Choose the venue and timing with care
Book a private room, not a corner of a busy restaurant. Weeknights from Tuesday to Thursday work best. Avoid the weeks around Thanksgiving, the Fourth of July and the end of December, and check for major local events that clog the city. Send invitations four to six weeks ahead.
5. Invite personally
Send each invitation as a short personal note from a named person. Say who else is coming, what the question is and when the evening starts and finishes. A message a week later helps. Mass emails rarely fill a senior table.
6. Host with a light touch
Welcome guests over a drink, then sit down and introduce the question. Ask each guest for a first view and then open the table. The sponsor takes part as one voice, not as a presenter.
7. Follow up within 48 hours
Send every guest a short summary of the main points. Then contact the people who showed interest one to one, and refer to something they said at the table.
Dinner or virtual roundtable?
A dinner builds a stronger personal relationship, and a virtual roundtable is faster to organize and lets you reach buyers across several US time zones at once. Many sponsors use both. Our guide to virtual roundtables for US buyers covers the online route, and our general guide to hosting an executive dinner sets out the basics.
Common mistakes
- Spreading guests across too wide an area. People will not travel far for a weeknight dinner.
- Choosing a product theme. Guests come for a problem they share.
- Booking near a holiday. Attendance drops sharply.
- Skipping the follow-up. The dinner is the start of the relationship.
